Dealer set up begins at 1:00 pm on Friday and will last until 9:00 pm.

The new plans and rules from 2025 for load in / load out also apply this year. Please read this carefully and openly share this information so set-up is as smooth as possible. In application, this isn’t much different than in years past. There are just a few details we need to be aware of. Failure to comply could result in parking tickets and / or towing.

Background:

Two years ago during dealer set up, the hotel dropped new rules on us at the last minute which required us to use the loading dock in the back.

This would have worked well if we arrived with semi and straight trucks, however this would not have worked for our group arriving in cars and vans. Luckily, we were able to immediately reach the hotel Director and received permission to proceed on a one-time basis.

Current Solution and
Load in / Load out Agreement

Garage Door Entrance

1) We can continue to use the garage door entranced if temperatures remain above 40* F.
2) This entrance is closed if temperatures drop below 40*F.
3) March Meet Committee Members must operate all doors. We will have 2 people assigned at this location.
4) Parking along the curb line will be allowed for short periods of time. Once the vehicle is unloaded it must be moved. Additionally, those parking at this location, must remain within close proximity so the vehicle can be immediately moved in case of emergency.
5) There can be NO DOUBLE PARKING.
6) As additional information, I worked with the Elmhurst Fire Department in order to reach an agreement that allows us to park at this location. Parking is normally prohibited here, which would require someone to be behind the wheel at all times. They’re allowing us
7) Failure to comply with these rules could result in fines and/or towing.

Ballroom Entrance:

1) March Meet Committee Members must operate all doors. We will have 2 people assigned at this location.
2) There can be NO DOUBLE PARKING.
3) Failure to comply with these rules could result in fines and/or towing.

Target Parking Lot:

Parking is not allowed in the Target Parking lot. The hotel alleges cars have been towed for being parked here. We don’t know how many of our people, if any at all, have parked here in the past. We’re attempting to contact the store director for permission. If we are successful, information will be available at Registration.
